Workshop policy

This policy applies to public candle-making workshops booked through Vibes Candle Studio. Please review it alongside your chosen workshop’s description, which contains the date, time, venue, ticket inclusions, and candle collection details.

1. Booking your place

Each ticket reserves one participant’s place in the selected session. Your booking is confirmed once payment has been received.

Please check your selected date, venue, and ticket quantity before completing your purchase. Keep your order confirmation and have your order number available for check-in.

If you book several seats, they will be listed under the purchaser’s name. Please share the workshop details and this policy with everyone attending under your booking.

2. Cancelling your booking

To request a cancellation, email vibescandlestudio@gmail.com with your name, order number, workshop date, and the number of seats you wish to cancel.

• At least 72 hours before the workshop starts: You may cancel for a full refund of the amount paid for the affected tickets, including applicable taxes.
• Less than 72 hours before the workshop starts: Tickets are non-refundable, except where a refund is required by law.
• Missed sessions: If you do not attend, the same late-cancellation terms apply.

The deadline is measured from the advertised workshop start time, using Ottawa local time. We assess the request based on when your email reaches us.

Approved refunds will be returned to the original payment method. These terms also apply when reducing the number of seats in a group booking.

3. Changing your session or sending someone in your place

Changing your session

You may request one date change at least 72 hours before your original session begins. Changes depend on available seats in another advertised Vibes Candle Studio workshop.

We will confirm any difference in price before making the change. Your booking remains on its original date until we confirm the new arrangements. If another session is unavailable, you can use the cancellation option above while you are still within its deadline.

Transferring your ticket

You may give your ticket to another person at no additional charge. Email us their name and your order number before the workshop begins so we can update the guest list.

The new attendee must meet any participation requirements stated on the workshop listing. Please share the booking details and this policy with them.

4. If Vibes Candle Studio changes or cancels a workshop

If we cancel your workshop, we will refund the full amount paid for the affected tickets, including applicable taxes, to the original payment method.

If we need to move the workshop to another date or materially change its time or venue, you may choose to accept the revised arrangements or receive a full refund.

We will contact you using the details supplied with your booking and give you as much notice as we reasonably can.

5. Arrival and late attendance

Please arrive approximately 10 minutes before the scheduled start to allow time for check-in.

If you arrive late, we will try to help you join. You must receive the necessary safety instructions before participating, and we may be unable to admit you if those instructions cannot be provided safely during the session.

The workshop will finish at its advertised time. Late arrival does not extend the session or entitle you to a refund for missed time, except where required by law.

6. Materials and safe participation

Please follow the host’s instructions when working with wax, fragrance oils, heated equipment, and glassware. Use only the materials and equipment provided or approved for the activity.

If you have fragrance sensitivities, allergies, or accessibility requirements, contact us so we can discuss the materials and arrangements before your visit.

The host may pause an activity when necessary to address a safety concern. Please treat the venue, equipment, and other participants with care.

7. Your finished candle

Your workshop listing will explain when you can take your candle home or collect it.

Please follow the handling, transport, and candle-care instructions provided during the session, including the guidance on when your candle is ready to use.

The colours, decorations, and finishing details you choose will make your candle individual to you. Product photographs show examples of the workshop’s style.

8. Photos and videos

We will ask your permission before taking or using identifiable photos or videos of you for Vibes Candle Studio’s website or social media.

Taking part in promotional photography is optional. Declining will not affect your workshop participation. You can contact us to withdraw permission for future promotional use.

Please also ask permission before photographing or filming other attendees.

9. Questions or concerns

Nothing in this policy limits your rights or remedies under applicable consumer protection law.
